Campaigns Administrator (with marketing, campaigns and fundraising admin)

Location: Bristol HQ

Hours: 35 per week

Holidays: 4 weeks plus at least 5 days at Xmas (plus usual bank holidays), increasing with length of employment

Starting salary: £23,000 to £27,000 depending on experience

Experience/Qualifications

Experience in office administration, project support work, EA/PA role, events organisation or similar.

 

Are you a highly organised and efficient administrator or project support co-ordinator who would enjoy assisting in admin for campaigns, marketing and fundraising? And who is passionate about Viva! and our aims?

The Campaigns Administrator will be part of Viva!’s vibrant campaigns team, working closely with the campaigners and the wider Viva! team to support the smooth running of our hard-hitting campaigns. This underpins Viva!’s high-impact public pressure and awareness campaigns to increase veganism in the UK and educate the public on reasons to go vegan for animals, the planet and our health.

The role involves ensuring the efficient operation of all administrative aspects of campaigns, including, but not limited to, booking travel and accommodation, liaising with councils regarding permits, archiving, drafting letters and emails, organising events, proofreading and overseeing and supporting various projects. The successful candidate will need to be able to prioritise a busy workload, be self-motivated and be committed to Viva!’s cause. We’re seeking a proactive, highly organised and efficient individual with an impeccable eye for detail.

This is a busy role and will offer the right candidate an excellent opportunity to utilise their organisation skills to help Viva! bring veganism to the masses. The role will also involve working with the marketing and campaigns teams to assist in the admin of fundraising, ie supporting appeals, donations and memberships and be responsible for a pipeline of donors. This will be achieved through both digital initiatives and face-to-face at events.

 

Job Description

  • Coordinate and assist with campaigns admin such as researching venues and dealing with councils, universities, etc, for permits
  • Assisting with the admin of campaigns, marketing and fundraising projects
  • Research aspects of campaigns as necessary; produce and fact check written materials
  • Organise and take part in outreach events, photo stunts and fundraising events
  • Opportunity to write and create visuals for campaigns
  • Produce campaign updates, evaluations and write-ups to share with the team, director and supporters
  • Obtain quotes from printers for various printed materials, placing orders, updating Printed spreadsheet
  • Booking travel, accommodation and venues for events
  • Arranging meetings in person and online
  • Draft emails/letters as required
  • Keep Viva! Diary document up to date
  • Updating/adding vegan celebrity webpages
  • Update general and high donor thank you letters
  • Check campaigns post and emails and draft replies
  • Assist with video production including sourcing voiceover artists
  • Digital filing and logging of campaigns/investigation materials, footage and images
  • Booking billboards
  • Proofread leaflets, blogs, reports, guides, appeals, carrier sheets, articles, news responses, web content for all Viva! departments
  • Assist in preparing presentations/proposals
  • Due to the nature of this role, out-of-hours work will be required

 

Skills and Knowledge

  • Proven experience as an office administrator, PA/EA or other relevant role
  • Outstanding written and verbal communication skills
  • Strong organisational, planning and coordinating skills
  • Impeccable attention to detail
  • Ability to manage time efficiently in a fast-paced environment
  • Strong collaboration and excellent interpersonal skills
  • Willingness to travel nationally and organise outreach/campaign events
  • Experience with Microsoft Office, Outlook and Teams
  • Some proofreading/quality control experience
  • Ability to deliver high-quality work quickly in a dynamic organisation and under time pressure
  • Self-motivated and self-managing with ability to take initiative
  • Proactive, can-do attitude
  • Commitment and alignment to the objectives of the organisation
  • Valid UK driver’s licence
